A sales receipt confirms that a customer has already paid. This generator gives small businesses a quick way to issue one without a point-of-sale system or spreadsheet.
A receipt is short, but each line does a job. It tells the customer who they paid, what they bought, how much tax was charged and how they paid. It also gives you a reference number to find the sale later if there is a return or a question.
| Receipt Detail | Field in This Tool | Why It Matters |
|---|---|---|
| Business name and contact | Store Name, Store Address, Phone Number | Shows the customer who received the money and how to reach you. |
| Receipt number | Receipt # | Lets you match the receipt to your sales records and returns. |
| Date of sale | Date | Places the payment in the right day and tax period. |
| Items sold | Line Items (description, Qty, Price) | Itemizes what the customer paid for. |
| Tax applied | Tax Rate (%) | Shows the tax charged on top of the subtotal. |
| Total paid and method | Calculated total, Payment Method | Confirms the amount and whether it was cash, card, check or mobile pay. |
| Staff member | Cashier Name | Helps you trace who handled the sale. |
A missing receipt number is one of the most common gaps in generic receipt templates. We suggest using a simple running sequence, such as 1001, 1002, 1003, so no two receipts share a number.
People often use the two words as if they mean the same thing, but they cover different moments in a sale. An invoice asks for payment before or during a job. A receipt confirms that payment has already been made.
Many service businesses issue both: an invoice to request the money, then a receipt once it arrives. This tool is for the second step. It records a completed payment, so it fits counter sales, market stalls, classes, repairs and any job paid in full at the time.
Example: This is an illustration with made-up numbers. A small cafe sells a customer two lattes at 4.50 each and one muffin at 3.25. The cafe charges 8% sales tax and the customer pays by debit card.
| Line | Qty | Price | Line Total |
|---|---|---|---|
| Latte | 2 | 4.50 | 9.00 |
| Blueberry muffin | 1 | 3.25 | 3.25 |
| Subtotal | 12.25 | ||
| Tax at 8% | 0.98 | ||
| Total paid | 13.23 |
We worked the tax out as 12.25 x 0.08 = 0.98, then added it to the subtotal for a total of 13.23. In the form, the cafe enters two line items, sets Tax Rate (%) to 8, picks USD and Debit Card, and uses receipt number 1047 as the next number in its sequence. The Thank You Message reads "Thanks for visiting. Returns within 7 days with this receipt."
A receipt helps your customer, but your own copy matters just as much. Records of each sale make it easier to reconcile cash and card takings, answer refund requests and prepare your accounts.
This is a simple receipt maker, not an accounting or point-of-sale system. Keep these points in mind before you hand a receipt over.
Use a running receipt number sequence and never reuse a number, so every sale can be traced back in your records.
Write clear item descriptions like "Bike tune-up, full service" instead of codes, so customers understand the receipt weeks later.
Put your returns or refund policy in the Thank You Message, so customers know the rules at the point of sale.
Save every receipt as a PDF with the receipt number in the file name, such as receipt-1047.pdf, so it is easy to find.
Check your local sales tax rate before entering it, and update the Tax Rate field if the rate changes.
Yes. The receipt generator is free to use with no account, trial or sign-up. You fill in the form, preview the receipt and print it straight from your browser. There is no limit on how many receipts you make, so you can use it for every sale your small business handles.
Yes, through your browser. Click Print Receipt, then choose Save as PDF as the destination in the print dialog. The PDF keeps the same layout as the preview, so you can email it to a customer or store it with your records. The tool itself only offers preview and print buttons.
An invoice asks a customer to pay for goods or work, usually before or during a job. A receipt confirms that the customer has already paid. Many businesses send an invoice first and issue a receipt once payment arrives. This tool creates receipts for payments that have already been made.
Yes. Enter your tax rate as a percentage in the Tax Rate (%) field and the preview shows the subtotal, the tax amount and the total. The same rate applies to every line item on that receipt, so if some items are taxed differently you may need to issue separate receipts.
No. The receipt generator runs in your browser and does not keep a history of the receipts you create. Save each one as a PDF or print a second copy for your files. You will also need to track your own receipt numbers so you do not repeat one.
Use it only for real sales your business has made, with the actual amount paid. It suits counter sales, services paid on the spot and settled invoices. Making receipts for purchases that never happened, or changing the amounts, can be fraud. Ask an accountant if you are unsure about local receipt rules.
